Maria (company A) creates an appointment in Outlook for a meeting about Project X. She plans this meeting for herself, John (company A, another building), and Lilian (company B) in meeting room Z4021 on 4/11/09 at 11.00 – 16.00 hours.

As usual she sends out an invitation through Outlook to all those involved, and also shares the event with the Smart Signs system. The Smart Signs system now knows about the appointment, persons involved and location, and possibly even specific announcements. 

4/11/09 Twenty minutes before the start of the meeting John (company A) gets a reminder from Outlook (or Entourage or Google) calendar for the planned meeting.

John leaves his office and his digital Door Sign shows that he is away in a meeting until 16.20. If necessary John can add a personal message.

As mentioned before, John works in another building than the building where the appointment will take place. On the way to the meeting the Way Signs present give him personal directions so that he reaches the location of the meeting without any problem or delay. The Way Signs recognize John by his cell phone (Bluetooth) he is carrying with him.

Later than expected Lilian (company B) arrives at 11.15 hours at the reception of company A. She is too late for the meeting and is in a big hurry. Luckily the system knows that Lilian is coming for the meeting of Project X. She only has to introduce herself briefly at the reception, after which she receives a tag (with active RFID technology). Since the Way Signs guide her excellently towards the right meeting room, no one at the meeting that has already started, has to interrupt it in order to come and pick her up.

Promptly Lilian arrives at the place of destination and is being welcomed by the Meeting Room Sign. This sign indicates that the meeting has already started, but that Lilian is welcome to come in and join the meeting.
